Controller-grade AP and procurement. Complete on its own.

Your vendors, bills, purchase orders, approvals and payment history live in PayCure — no accounting system required. Every bill fraud-screened. Three-way match as a hard gate, not a warning. Payments that re-check the bank account before money leaves.

Built by a Controller. Already on QuickBooks Online? Connect it and the two stay in step — optional, not required.

Why PayCure

Controls a Controller would design. Because one did.

Email threads and spreadsheets enforce nothing, and accounting systems were built to record transactions rather than control them. PayCure is where AP and procurement actually happen — with separation of duties, matching that blocks instead of warns, and payments that check themselves before money leaves.

Settled history is never rewritten

Posted bills are immutable at the database level. A credit memo applied to a paid bill is reversed — never voided — and the reversal amount is derived from the original, never typed. Corrections leave a trail; they don't erase one.

How corrections work

Fraud screened before approval

Fifteen signals run on every bill: vendor typosquatting, a bank-detail change right before payment, amounts sitting just under an approval threshold, same-day splits, anomalies against the vendor's own history. Flags land in review, with the evidence.

The signal list

Payments that check themselves

A cancel window before the debit. A payout hold after funds are pulled. And bank-detail re-verification at execution: if a vendor's account changed after the payment was scheduled, it's blocked — not sent. No batch pay, by design.

The safety sequence
AP Inbox

One-click AI reading. A person stays in charge.

Invoices, credit memos, and vendor documents land in one inbox. Nothing is read until someone chooses to read it — then AI extracts the fields and stages a draft for human review. A machine shouldn't file a bill nobody looked at.

  • Documents arrive unread; reading is on-request, one click per document
  • Drafts persist — vendor, dates, coding, attachments — until you submit
  • 3,000 AI document reads per subscription year included, shared across bills, credit memos, and vendor documents

Approvals & controls

Separation of duties, enforced — not suggested

Nine configurable controls keep one person from owning a payment end to end. Each can be disabled, amount-thresholded, or overridden with a written reason — and every override is permanently logged.

  • Enter ≠ approve · approve ≠ pay · onboard ≠ approve vendor · change ≠ verify bank · issue ≠ reverse credit
  • Three-way match is a hard gate — a failed match blocks approval unless someone writes an audit-logged override reason
  • True delegation: while your Controller is out, the delegate inherits their approval authority — and it reverts automatically

Procurement — shipping today

Requisition to receipt, on the same platform

A fully built procurement module, licensed separately: requisitions with dimension enforcement, full-lifecycle purchase orders including blanket POs with not-to-exceed caps, and receiving that blocks over-receipt past your tolerance.

  • Amendment control: adverse changes to an approved PO force re-approval; a price cut keeps the approval
  • Vendor acknowledgment portal — no login required; accept, propose changes, decline with a reason, or send an ASN
  • Received-not-invoiced tracking with a GR/IR ledger that ties to the clearing account

Payment safety

What happens between "approved" and "paid"

Rails: ACH, domestic wire, printed check, and international SWIFT wire. Every payment passes through the same sequence — and there is no batch pay, because paying fifty bills in one click is how a wrong amount leaves unnoticed.

Scheduled

Approved and queued, one bill at a time. A cancel window stays open before any debit.

Funds pulled

A payout hold applies after the debit — a last checkpoint before money goes out.

Bank re-verified

At execution, the vendor's bank details are checked again. Changed since scheduling? Blocked, not sent.

Released

Funds move through a licensed money-mover. PayCure never holds customer money.

By design

What PayCure deliberately does not do

Restraint is a control. These are decisions, not gaps — and a Controller will recognize the judgment behind each one.

No batch pay

Bills are paid one at a time, reviewed one at a time. Paying many bills in a single click is precisely how a wrong amount leaves the building unnoticed.

No silent automation

AI reading is on-request. Documents arrive unread and stay unread until a person clicks — because a machine shouldn't file a bill nobody looked at.

No editing settled history

Posted documents are immutable. Corrections happen through reversals whose amounts are derived from the original — never retyped, never overwritten.
